The Document Control Supervisor is responsible to the SBM Atlantia Document Control Manager for supervising the coordination of records and information from creation or receipt through processing, distribution, organization, storage and retrieval, and ultimate disposition. The supervisory role is responsible for ensuring documentation is systematically managed and aligned with the SBM Offshore Group’s Document Management Systems and processes. This role is also responsible for supervising and providing direction and guidance over a staff of Document Controllers and Comments Administrators.
Supervise Department Staff
•Provide input to man-hour forecast and planning tools based on current and future project workload •Administer the personnel activities of the Document Control Department including recommendations related to manpower requirements, recommendations for personnel development/promotions •Provide technical guidance and instruction to staff in relationship to Document Control policies including some GMS procedures •Evaluate staff’s career development plans through periodic reviews and provide mentoring to improve staff effectiveness and skills
Promote and Direct Department/Discipline
•Treat confidential and proprietary information with sensitivity and confidentiality •Review, recommend, and revise organizational business policies to achieve compliance with records information management policies, goals, and objectives •Attain new insights, question conventional records interface management approaches, and implement innovative programs and processes for using information assets •Make recommendations to improve Document Control procedures in reference to the management of documentation to establish and continue utilizing efficient methods with efforts of reducing costs •Evaluate and mitigate potential records information management risks •Issue corrective actions where needed to drive compliance with organizational objectives •Respond to requests for compliance information to assist in organizational governance •Collaborate with IT to implement records information management requirements during the operation, maintenance, and close-out phases of the information management system lifecycle
Train and Implement Information Technology Applications
•Support and train others in the use of technology to accomplish tasks in support of records interface management program objectives Coordinate implementation, training, and development of eDMS, eCDR, and eCMS program with company personnel •Provide input to training records for eDMS, eCDR, and eCMS Oversee Discipline’s Project Activity •Ensure the processes for acquiring records information management deliverables and services per procurement contracts are coordinated during project proposal and execution •Ensure project specifications are defined, written, and issued for project start up. This includes Document Management Plans, Instructions for Vendor Data Submittals, etc. •Ensure projects are set-up properly in eDMS, eCDR, and eCMS •Provide updates/reports on project status •Inform management of issues that have an impact on record information management compliance and program performance •Supervise the integration or the transfer of records to and from external organizations •Monitor the Comments Management, Engineering, and Vendor Document Control activities •Improve the visibility of documentation submitted and processed on time in accordance with project schedules •Monitor and conduct audits and quality control checks to ensure data integrity is accurate •Ensure document transmittals are acknowledged in a timely manner •Ensure Document Control project correspondence is filed correctly •Ensure projects are closed out properly with attention to time/budget constraints
